Understanding Resident States and App Statuses

Residents in Resvu have two separate sets of statuses that are easy to confuse. This article explains the difference between a resident's state (which determines their standing in the system) and their app status (which determines whether they can access the resident portal). Understanding both helps admins manage their residents more effectively.

Resident States

A resident's state reflects their current standing within your community. There are four possible states.

Active — The resident has been added to the resident user table.

This means they can:

  • Receive email communications

  • Be assigned to requests by admins

  • Be assigned to reservations by admins.

  • Be exported via CSV where resident column is in the table

A resident can be active without having access to the resident portal — their state simply determines whether they are part of your community's records and can be managed within the system.

Pending — The resident has self-registered through the portal and is awaiting admin approval before they can access the system.

Denied — The admin has reviewed and rejected the resident's self-registration request.

Archived — The resident is no longer in the community. Archived residents cannot access the portal or app, cannot be assigned to requests or reservations, and will not receive any communications. They remain in the system for historical record purposes only.

App Statuses

A resident's app status determines whether they can log in to the resident portal, either through a web browser or the resident app. There are five possible app statuses.

Live — The resident has clicked the welcome email, set up their password, and accepted the terms and conditions. They can now log in to the resident portal via a web browser or the resident app.

Pending Activation — The resident has received the welcome email within the last seven days but has not yet activated their account.

Activation Expired — The welcome email link has expired after seven days. This is a security measure to ensure the account setup link is not left active indefinitely. An admin will need to resend the welcome email so the resident can complete their account setup.

Not Invited — The resident has been added to the resident user table (either via CSV import or through an integration partner's automatic import) but has never received a welcome email. An admin needs to manually send the welcome email so the resident can set up their account and move to a live status.

Opted Out — The resident has chosen not to access the portal or receive communications through the app. They remain in the system for record-keeping purposes, so admins are aware that these residents will need to be contacted through other channels, such as post or phone.
