Goal
This article outlines how to publish a procedure to residents using either the Upload Procedure or New Procedure options in the admin portal.
Before you get started
You will need to have the correct permissions set in order to create communication templates. To check this, navigate to:
Settings ➡️ Admins ➡️ Edit your chosen admin ➡️ Select Roles & Permissions ➡️ Scroll down to Access Detail ➡️ Expand Communicate and ensure that Procedures has Full Access selected.
Publishing a procedure
You can publish a procedure in two ways:
Upload Procedure: Upload a pre-prepared PDF file
New Procedure: Create a procedure directly within the admin portal
The steps are mostly the same for both methods.
Step 1 - Create a Procedure
Click Communicate in the admin portal
Select Procedures
Choose either:
Upload Procedure – to upload a PDF
New Procedure – to create the procedure within the platform that then converts to a PDF
Step 2 - Select communities
Choose the community or communities you want to send the procedure to
(You can select one, some, or all communities.)
Step 3 - Add Procedure content
If using New Procedure:
Select a procedure template
Enter the Title, Description, and Body of the procedure (this content will be converted into a PDF)
If using Upload Procedure:
Upload your PDF file
Enter the Title and Description (this appears in the notification sent to residents)
Step 4 - Choose the audience
Select who should receive the procedure:
All users, or specific user types:
Owner-occupiers
Owner-investors
Tenants
Property managers
Committee
Other
You can also choose:
Resident groups
Committee groups
Individual users
Step 5 - Set visibility
Display on mobile app: Toggle ON or OFF
Visibility period:
Choose Permanently displayed, or
Set a start and end date
Step 6- Send notifications
Choose how to notify residents:
Email
SMS
Mobile push notification
The notification will be sent based on the visibility from date, and you can select the specific time.
(Optional) Additional communication
You can send an additional custom notification to residents:
Select Date, Time, and Type (Email, SMS, or Push Notification)
Enter your custom message
Step 7 - Review and submit
Review all the procedure details
Click Submit Procedure to publish
The procedure will now be sent to residents and recorded in Communicate Logs, where you can track delivery status
