Managing Resident Reservations

This article shows how you can manage the reservations once residents have made a booking through a venue

Goal

The goal of this article is to show you how to manage residents making reservations/bookings with venues relating to the community.

Before you get started

You will need to have the correct permissions set in order to create venues. To check this, navigate to:

Settings ➡️ Admins ➡️ Edit your chosen admin ➡️ Select Roles & Permissions ➡️ Scroll down to Concierge➡️ Expand concierge and ensure that Reservations has full access selected.

Managing Resident Reservations

Resident makes a Reservation

Step 1 - Resident submits a reservation

Residents will submit a reservation through the Resident portal.

If Approval is not required it will appear under reservations as Confirmed for record keeping.

If Approval is required then you will need to approve the reservation

If Approval is required then you will need to approve the reservation

Step 2 - Approving a reservation

To Approve a reservation that requires approval go to Reservations ➡️ Reservations ➡️ Future tab or Calendar tab ➡️ Find the reservation and click Approve, Decline or View

Approve button Approves the reservation and notifies the resident

Decline button declines the reservation and notifies the resident

View button shows you the information of the reservation

When you view the Reservation you are able to Approve, Decline or Edit the reservation by clicking the buttons at the top right

Making a Reservation on behalf of the Resident

Step 1 - lets begin

Login to the admin console and navigate to Reservations ➡️ Click New Reservation button in the top right

Step 2 - Enter in the details of the Reservation

  1. Target community

  2. Venue

  3. Reserved by

  4. Date

  5. Reservation time

  6. Description (Optional)

  7. Terms and conditions (If toggled on)

  8. Payments (If toggled on)

Once completed press the Reserve button.

Viewing Reservations

Future Reservations

Future Reservations will then appear under Reservations ➡️ Reservations ➡️ Future tab

Past Reservations

Past Reservations will then appear under Reservations ➡️ Reservations ➡️ past tab

Calendar view

To view reservations in a calendar view go to Reservations ➡️ Reservations and select a community, only when at least one community is selected will the calendar appear
