Goal
This article explains how to issue work orders from the Resvu system. You will learn the three ways work orders can be created, how to complete the work order fields, how to send it to a contractor, how to share the work order with the committee, and how to manage the work order through to completion.
Before You Get Started
You will need to have the correct permissions set in order to issue work orders. To check this, navigate to: Settings ➡️ Admins ➡️ Edit your chosen admin ➡️ Select Roles & Permissions ➡️ Scroll down to Work Orders ➡️ Expand Work Orders and ensure that Work Orders has full access selected.

Step 1 - Create the Work Order
There are three ways a work order can be created in Resvu. Pick the one that matches your scenario, then follow the step reference to jump straight to where you need to start.
Standalone work order
Go to the Dashboard and Click New and select New Work Order.
There are 3 Additional fields, 2 of which are mandatory. You need to set up the Community, Lot, and Workflow Template fields (these only appear on standalone work orders, because they are not inherited from anywhere else).
Then continue to Step 2 to complete the remaining work order fields.
From an existing request
Click the request you wish to create a work order for.
click Actions, and select Work Order. Then continue to Step 2 to complete the remaining work order fields.
From an existing quote
Click the request that contains the quote you wish to make the work order for
click the three-dot menu on the quote, and select Convert to Work Order
all of the work order fields are copied across from the quote, including the list of contractors.
You can skip Step 2 and go straight to Step 3 to select the contractor you want to proceed with.
Step 2 - Complete the Work Order Fields
This step applies if you are creating a standalone work order or a work order from an existing request. If you converted from a quote, you can skip to Step 3.
Mandatory Fields
Summary — a short description about the work order
Site Contact — the person the contractor will liaise with. You can select from community info contact cards, any admin associated with the community, or any resident associated with the community.
Optional Fields
Priority - urgency of the work order
Budget — usually the cost of the work order
Job date — when the work order will occur
Recurring — set the work order to repeat, with a frequency
End date — when the recurring work order will end
Secondary Contact — a second contact, either selected from the list or entered manually (name is the only required field when entering details manually)
Description — additional information about what needs to be done
Attachments — any files or images relating to the quote
Step 3 - Select the Contractor and Set Preferences
Select the Contractor
From a Standalone or existing request
Click Select Contractor
Then choose from the list of contractors.
Then to confirm, click the contractor again
Converting from a Quote
If you converted from a quote, the list of contractors from the quote will already be shown, just pick the one you want to proceed with.
Step 4 - Set your Preferences
Set Budget Visibility
Choose whether the budget is visible to the contractor.
Choose Who Receives a Copy
You can send a copy of the work order to:
The assignees (the admins assigned to the work order)
The site contact
The secondary contact
Committee members (individual members or a committee group)
Other admins associated with the community
Step 4 - Issue the Work Order
Once all fields, the contractor, and preferences are set, click Issue Work Order. The work order will be sent to the selected contractor.
Sharing the Work Order with the Committee
Step 1 - Share the Submission First
Before a work order can be shared with the committee, the parent request must be shared. Go to the top of the request, click Share.
Choose the audience, select the committee group or individual members, and click Save.
Step 2 - Share the Work Order
Once the submission is shared, click Share to Committee on the work order. The audience will already be selected (greyed out). Choose the notification method — email or push notification — and click Share to Committee.
The work order is now visible to committee members in the resident portal under Committee Help Requests. Committee members will also see the status you set on the work order.
Managing the Work Order After Issuing
Updating the Status
To update the status, go to properties and click on the Status.
The Status appears in the Admin dashboard and in the Activity log
Editing and Reissuing
You can edit the work order after it has been issued. Any edits you make require the work order to be reissued to the contractor.
Attach Work Order or Send a Follow-Up
Click the three-dot menu next to the contractor to attach documentation or to send a follow-up if you need to chase up the contractor.
Exporting as a PDF
Click the PDF icon on the work order to export it as a PDF.
Marking as Complete or Cancelling
The three-dot menu on the work order allows you to mark the work order as complete, cancel the work order, or cancel all future work orders (if the work order is recurring).
Closing the Request
Once the work order is complete and all required information has been uploaded, go to Actions and click Close Request. This will close the work order and the parent request. Closed requests appear under the Closed tab on the Dashboard.
