How to Issue Quotes in Resvu

Goal

This article explains how to issue quotes from the Resvu system. You will learn the two ways to create a quote, how to complete the quote request details, how to send it to contractors, how to manage the quote after it has been issued, and how to convert it into a work order once you are ready to proceed.

Before You Get Started

You will need to have the correct permissions set in order to issue quotes. To check this, navigate to: Settings ➡️ Admins ➡️ Edit your chosen admin ➡️ Select Roles & Permissions ➡️ Scroll down to Quotes ➡️ Expand Quotes and ensure that Quote Requests has full access selected.

Accessing Quotes

There are two ways to create a quote in Resvu. You can either create a standalone quote from the Dashboard, or you can create a quote from inside an existing request so that it is associated with that request.

Creating a Quote from an Existing Request

Step 1 - Open the Request

From the Dashboard, click into the request that you want to issue a quote for.

Step 2 - Issue the Quote

On the right-hand side of the request, under Actions, select Issue a Quote. The quote will sit under the request and be associated with that request number.

Step 3 - Enter in the Information about the Quote

The summary from the request, along with any attachments such as uploaded files or images, will automatically be copied across to the quote.

Unlike requests, which are derived from workflow templates and can be customised, quotes cannot be customised. The fields available are fixed.

Mandatory Fields

  • Summary — a short description about the quote

  • Site Contact — this is the contact the contractor will liaise with when they are at the community. You can select from community info contact cards, any admins associated with the community, or any residents associated with the community.

Optional Fields

  • Secondary Contact — a second contact option. You can select from the same list as the site contact, or choose Enter Details Manually to add someone not in Resvu.

  • Priority — the priority of the quote

  • Budget — the budget of the quote

  • Expected job date

  • Cut off date — the date you expect the quote to be returned

  • Description — additional information about what needs to be done

  • Attachments — any files or images relating to the quote

Once completed, move to the Selecting Contractors and Preferences section of the article

Creating a Standalone Quote

Step 1 - Start a New Quote

From the Dashboard, click New and then select New Quote Request.

Step 2 - Select the Community and Workflow Template

Standalone quotes include a couple of additional fields. You will need to select the Community and the Workflow Template. The workflow template is required because it determines which statuses will be available on the quote.

Step 3 - Enter in the Information about the Quote

Unlike requests, which are derived from workflow templates and can be customised, quotes cannot be customised. The fields available are fixed.

Once completed, move to the Selecting Contractors and Preferences section of the article

Selecting Contractors and Preferences

Step 1 - Select Contractors

Click Select Contractors. The list will show contractors that come from integration partners, as well as any contractors you have manually created under Settings ➡️ Contractors. You can select multiple contractors to send the quote to.

Step 2 - Set Budget Visibility

You can choose whether the budget is visible to the contractor. If enabled, the contractor will see the budget you entered. If disabled, the budget is kept internal, which is useful if the budget reflects an internal committee figure you do not want to share.

Step 3 - Choose Who Receives a Copy

You can email a copy of the quote to:

  • The assignees (the admins assigned to the quote)

  • The site contact

  • The secondary contact

  • Committee members (select a committee group associated with the community)

  • Other admins associated with the community

Issuing the Quote

Step 1 - Save or Issue

You can click Save as Draft to come back later, or Issue Quote Request to send it immediately.

Step 2 - Confirm the Quote has been Issued

Once issued, the selected contractors will appear on the quote. The status shown at this point is an internal status and is not shared with the resident.

Managing the Quote After Issuing

The three-dot menu on the quote allows you to manage it after issuing.

Adding Additional Contractors

If you need to send the quote to another contractor after it has already been issued, do not edit the existing contractor list and reissue — this will resend it to contractors who have already received it.

Instead:

  • Click the three-dot menu on the quote

  • Select Add Contractor

  • Confirm the prompt letting you know the contractor will receive an email

  • Choose the contractor and confirm

The new contractor will be added and notified automatically.

Sending a Follow-Up to a Contractor

Each contractor on the quote has its own three-dot menu. Select Send Follow-Up to send a reminder email. You can include a short message, and the follow-up will be clearly marked as a follow-up in the email.

All follow-up emails are recorded under Communicate ➡️ Logs, where you can view exactly what was sent.

Attaching a Returned Quote

When a contractor sends their quote back to you (via email, outside of Resvu), you can attach it to their record:

  • Click the three-dot menu next to the contractor

  • Select Attach Quote

  • Enter the amount

  • Upload the document

  • Add any notes

  • Click Attach

Repeat this for each contractor who returns a quote.

Exporting the Quote as a PDF

Click the PDF icon on the quote to export it as a PDF. You can then download or save the file as needed.

Other Options

The three-dot menu on the quote also allows you to:

  • Duplicate the quote — if you need to send it again

  • Convert to Work Order — once you have chosen your preferred contractor

  • Mark as Complete — when the quote process is finished

  • Cancel — if the quote is no longer needed

Converting a Quote to a Work Order

Step 1 - Mark the Quote as Complete

Once you have received all the quotes back and chosen your preferred contractor, attach the quotes as outlined above, then mark the quote as Complete.

Step 2 - Convert to Work Order

From the three-dot menu, select Convert to Work Order. All the information from the quote will be copied into the work order, including the price, attachments, and notes from the selected contractor.

Step 3 - Complete the Work Order Details

Update the work order information as needed. Select the contractor you are proceeding with and issue the work order.

Summary

There are two ways to issue quotes from Resvu. You can create a quote from within an existing request so that it is linked to that request, or you can create a standalone quote directly from the Dashboard. In both cases, you complete the quote request fields, select your contractors, set your preferences, and issue the quote. Once the quotes are returned, you attach them to each contractor, mark the quote as complete, and convert it into a work order to proceed with the chosen contractor.
