Issuing quote requests

Updated over 4 months ago

Goal

This article will help you learn how to issue quote requests for jobs in the resvu platform. Residents are able to submit requests via the portal or app and these can have multiple quote requests created and managed within them.

Before you get started

You will need to have the correct permissions set in order to manage quote requests. To check this, navigate to:

Settings ➡️ Admins ➡️ Edit your chosen admin ➡️ Select roles & permissions ➡️ Scroll down to access detail ➡️ Expand workflows and ensure that job management has full access selected.

Raising a quote request

Step 1 - Let's begin

Log in to the admin portal. From the dashboard, you will see all your resident requests. Locate the specific request which requires a quote and click on it.

Step 2 - Create quote request

Here you can see the request details. This is the information from the resident.

To create one or more quote requests click on the action button in the top-right corner of the screen, then select quote request from the dropdown menu.

This will open another tab, labelled quote requests.

From here you can begin to create your specific quote request.

Quote request properties

Here is a list of all the specific quote request fields and their intention:

  • Summary*: provide a brief description of the job

  • Priority: let contractors know the priority

  • Budget: let contractors know the spending expectations

  • Expected job date: let contractors know expected completion date

  • Cut off date: Internal contractor quote deadline (not shown to contractors)

  • Site contact*:

  • Secondary site contact:

  • Description*: add further specifications

  • Attachments: upload relevant files or images

Click Select Contractors, then search for the contractors you would like to invite to quote. Check the boxes next to the contractors you want to include.

You can use filters (such as contractor type) to refine your search.

Preferences

You can choose whether to let contractors see the budget or not. You can also choose to share the quote request with the committee, for discussion and voting on preferences.

Selecting save as draft will save the information you have entered so far.

Activity log

The activity log is at the bottom of the table. It is a timeline detailing all the actions that have been taken for the request, and by whom.

It is also a great way to check on or track the status of a request.

Step 3 - complete

When you have added the details and preferences that you want and you are ready to send the request to contractors, please select issue quote request to finish.
