Goal
This help guide will demonstrate the steps of managing workflow templates, which includes:
Where to find templates
Changing the template order
Filtering templates based on communities
Removing templates
Raising a manual request from templates
Before you get started
You will need to have the correct permissions set in order to access workflow templates. To check this, navigate to:
Settings ➡️ Admins ➡️ Edit your chosen admin ➡️ Select Roles & Permissions ➡️ Scroll down to Access Detail ➡️ Expand Workflows and ensure that Workflows has Full Access selected.
Managing templates
Let's begin
Login to the admin dashboard and click on workflows, then click requests. Click on the top-right corner button, manage templates. From here you can see and manage your workflow templates
Please see this article for more on designing workflow templates.
Viewing templates
Workflow templates are shown as cards with the image (chosen during template creation), title, and description displayed. These three items help you and your team quickly identify which template you need.
There is also an options drop-down that provides the following choices:
New request: raise a request on behalf of a resident (explained below).
View: see and edit the workflow template.
Remove: delete the template from use.
Changing the template order
Why might you want to change the workflow order? You will want to change the workflow order to customise which workflows are shown first to residents in the app or portal. In the top-right hand side there is a button for set order.
A pop-up opens with the current order of workflows shown to residents in the app and portal. The name of the workflow template is shown on the right, and on the left is a grab-slider which you can use to click and hold to re-arrange where that workflow template appears in the order.
Deleting templates
On the manage template page, where you can see all your templates as cards, each template will have an options drop-down which provides the choice to delete the template. This will not allow residents to raise a request using this workflow.
Once a workflow template has been deleted it cannot be restored.
Manually creating a request
You can manually raise requests on behalf of your residents from this page too. Click on the options drop-down and choose new request. This will open a pop-up of the workflow form for you to fill out.
You will need to select the target community and then the resident for whom you are completing this form.
If the workflow template is large you will need to scroll to the top before filling out the form.
Once complete, click submit at the bottom of the form pop-out.
