A lean, recommended set of document categories to set up in Resvu, with guidance on permissions, retention and how many documents to expect.

Keep it simple

When setting up documents in Resvu, less is more. A small, well-organised set of categories is far easier for residents to navigate than a long list of folders. We recommend building around the five categories below.

As a guide, aim for roughly 60–80 documents per building in total. If you find yourself well above that, it's usually a sign that older or superseded documents can be archived.

Recommended categories

Meetings

  • What to include: Agendas and minutes — AGM, EGM and SCM.

  • Who can see it: All users (consider what you want tenants to see).

  • How much history: Last 3 years.

  • Rough number: 6–10 documents.

Insurance

  • What to include: Certificate of Currency (COC).

  • Who can see it: All users.

  • How much history: Current only.

  • Rough number: 1–2 documents.

Strata

  • What to include: Strata plan, by-laws, sewer diagram, and how-to guides and rules.

  • Who can see it: All users.

  • How much history: Current only.

  • Rough number: 5–6 documents.

Reports

  • What to include: Capital Works Fund (CWF), insurance valuation, WHS, asbestos and defects reports.

  • Who can see it: All users.

  • How much history: Current only.

  • Rough number: 5–6 documents.

Financials

  • What to include: Monthly status reports (e.g. from StrataMax) and invoices.

  • Who can see it: Committee only.

  • How much history: Last 12 months.

  • Rough number: 30–50 documents.

A few tips

  • Permissions matter. Most categories can be visible to all users, but keep financial detail such as invoices and status reports restricted to the committee.

  • Set a retention habit. For most categories you only need the current version. Meetings and financials are the exceptions where a few years of history is useful.

  • Review periodically. When a document is superseded, archive or remove the old one so the list stays clean and current.
