Goal
This article will show you how to make a workflow form publicly accessible using a live link, allowing users to submit requests without the app.
Before you get started
Your admin account must have permission to manage workflows. To check this, navigate to:
Settings ➡️ Admins ➡️ Edit your chosen admin ➡️ Select Roles & Permissions ➡️ Scroll down to Workflows ➡️ Ensure that workflow templates have full access selected.
Enabling public access for a workflow form
Step 1 – Create or open a workflow template
From the admin portal, select workflows, then select templates.
To create a new workflow, follow the standard setup steps detailed here.
To update an existing workflow, select options under the desired template and then select view.
Step 2 – Enable external access
Within the workflow template, open the advanced tab and toggle on allow external access.
Step 3 – Save the workflow form
Select the Save tab and then select save.
Accessing the public link
Step 1 – Open the public link
Select options under the desired workflow template and then select public Link.
This will generate a live link that can be shared publicly.
Managing public workflow requests
Required fields
All public workflow forms include the following required fields at the top of the from:
Name
Email address
Community or scheme
These fields ensure you can identify who submitted the request and which community it relates to. After the required fields, the remainder of the custom workflow form will appear as configured.
Submission
Once the form is submitted, the user will receive a confirmation email to the email address they entered containing a link to the request.
From this link, the user can:
download a hard copy of the request
add comments
view activity updates as the request progresses
Dashboard
In the admin portal, the request will appear in the table and can be opened. Please note the request will show in the table without a community assigned.
Assign the community and requester
In the right-hand properties panel, select the relevant community.
Select the requestor and choose whether they are a resident or an admin.
If the requester is not an existing user, leave the requester field as is.
You can then manage the request as normal.
